Hindsight being 20/20, TeleMagic is proving to have been years ahead of its time. Our technology has served us well these past 20 years. Many of these are expanding and new TM5 applications are still being deployed even 2 years after Sage gave up supporting the application. If the TeleMagic DOS version is any indication, these applications will live on for the foreseeable life of the Windows 2003/XP/2K/NT/98 platforms. Now with TeleMagic Online, Go Global and other technologies there are even more new opportunities.

For TeleMagic users, version 5 is the end of the Windows line. Or is it? Add Hotbuttons or WinBatch and create your own version 6. TeleMagic is dead; long live the TeleMagic "Money Machine" applications we have created.

We develop a customised TeleMagic User Guide for each client. In it we recommend that making scheduled calls should be done by using the Pending Activity list, that calls should be made on their scheduled date, and from the linked contact record. A key element is that making a call on the day it is scheduled will give a prompt when saving the call notes to "Add information to the call you had scheduled for this contact today?", thereby completing it and removing it from the pending call list. This avoids the issue of 2 activities that you mentioned.

Pending Activity List

The Pending Activity List feature is effectively your bring forward ist. If used properly, it will remind you of recalls and planned activities which you have scheduled for each day and allow you to act on them.

A pending activity will normally have been created by setting a recall, as detailed in "Setting Recalls", on Page 36 of this Guide; or by scheduling an activity, as detailed in "Scheduling Planned Activities", on Page 38 of this Guide.

How to Use the Pending Activity List

We suggest the following guidelines for use of this feature:

. Look at your list each morning, to check any recalls or appointments for the day. If you have scheduled a call for another day which you would like to bring forward to today, change the date of that call to today;

. Once you have completed the above steps, make the calls which now appear with today's date; and if,

. At the end of the day, there are still some recalls scheduled for today which you have been unable to complete, change their dates to tomorrow, or another day on which you intend to complete them.

How To Access the Pending Activity List:

To access the list, use one of the following methods:

. Click Goto, then Pending Activities; or

. From the Contact menu, select Pending Activity List; or

. Click the Pending Activities button on the System Toolbar

The Pending Activity List will open, showing all your incomplete activities in order of due date/time.



If you have completed all previous days' pending activities, the list will start with any pending activities with today's date.

How to Make a Call From Your Pending Activity List

Note: If you decide to bring forward to today a call which is scheduled for the future, make sure you FIRST change the date in the activity to today's date BEFORE MAKING THE CALL. When you make the call, the system will then give you the opportunity to link your outgoing call with the call scheduled for today, and will then complete the activity, removing it from your Pending Activity List.

If you make a call for an activity which is dated in the future, the system will record today's call, whilst still leaving the original recall. You will then have to manually Delete the original call from your Pending Activity List. (Do not Complete the original call to remove it from the Pending Activity List, as this will leave you with a record of two calls, one of which did not in fact take place.)

1. Highlight the appropriate activity.

2. Click To Contact to go to the contact record that is associated with that activity.

3. Read the notepad to read notes from the previous call, which may give the reason for this call.

4. Make and record your call, as detailed in "Outgoing Calls", on Page 30 of this Guide.

5. Return to your Pending Activity List, as detailed above, in preparation for the next call.

Hint: We recommend that you keep your Pending Activity List tidy by rescheduling any past due activities, so that today's activities are always first in the list. In this way, every time you return to your Pending Activity List, your cursor will automatically be positioned on the next scheduled call.
